Confirmation: If you do not receive an email confirmation of your booking within three working days please contact email@example.com with full details.
Price: The special discounted price exclusively reserved for aircraft operators, governmental agencies and academia does not apply to their agents or representatives, nor any other party. We reserve the right to cancel any registration that is made using a wrong or misleading company type and we reserve the right to charge a GBP 100 administration fee. Any discounts applicable to a registrant can only be applied at the time of booking. Discounts cannot be retrospectively awarded.
Payment: Payment may be made by credit card at the time of booking or by invoice. Full payment, taking into account your bank charges, must be received in cleared funds to our bank account within 10 working days of the date of invoice. If your registration is made within 10 days of the event the payment must be received in cleared funds to our bank account no less than 2 full working days before the event takes place. If payment is not received as stipulated above admittance to the event may be refused and without refund and without notification. We will not be liable for any costs or liabilities arising from such cancellation including but not limited to airfares and hotels. Payment must also be made in full for cancellations made within 31 days of the event date.
VAT: If you are a company registering with an EU address (except UK) and a valid EU VAT number, we will not apply UK value added tax (VAT). If you are a company registering with an address from outside of the EU, we will not apply VAT. In all other cases, we will charge VAT at the current standard rate of 20%. We reserve the right to alter or cancel any registration, or to charge VAT retrospectively, that is made using a wrong EU VAT number or a wrong or misleading company type and we reserve the right to charge a GBP 100 administration fee.
Your company logo: as soon as you have confirmed your booking, we may include your logo in the home page of www.aviationcarbon2013.com as part of the list of confirmed participants. If you would prefer us to use a logo of your choice, please email it to firstname.lastname@example.org.
Visa Invitation Letters: If a Visa application is declined and you wish to cancel your place more than 31 days before the Conference, we will refund the amount paid less an administration fee of GBP 100. If your Visa is declined within 31 days of the Conference taking place and you can provide evidence of this to our satisfaction, we will refund the amount paid less an administration fee of GBP 100. However if you cannot provide such evidence, no refund will be given and we will not be liable for costs arising from such cancellation such as airfares and hotels.
Insurance: Delegates are advised to take out appropriate travel insurance. We accept no responsibility for travel, accommodation or other expenses incurred as a consequence of cancellation or postponement of the event. We accept no liability for any other loss, including incidental or consequential loss, in excess of the amount paid for the booking.
Cancellation policy: All bookings are considered binding. This is a prepaid event. If you cannot attend you must cancel your registration in writing no later than 30 days before the first day of the event date we will at your option accept a substitute at no extra cost (please see substitute section below) or refund 75% of the applicable delegate fee with a minimum retention by us of GBP 100 per delegate to cover our non-refundable event costs and administrative costs. If cancellation is less than 30 days before the first day of the event date a substitute will be accepted but no refund will be given. Failure to attend the event counts as a cancellation. All cancellations must be in writing to both email to email@example.com and by fax to +33 183 621 618 to ensure receipt.
Special dietary or access requirements: Please notify us by email (firstname.lastname@example.org) at least one month before the conference date if you have any special dietary or access requirements (e.g. wheelchair access, etc.)
Substitutions: If any delegate is unable to attend we will accept a substitute delegate at no extra cost. Please notify us by email (email@example.com) with the name, job title, email address & telephone number of both the registered and substitute delegate. Please also advise if a visa invitation letter is required, and whether the substitute delegate has any special dietary or access requirements.
Alteration and Cancellation: It may be necessary to alter the date or location of the event. If we cancel the event for any reason, we will make a refund of any booking fees paid. If we have to alter the location of the event to a different venue in the Greater London Area, this booking will be transferred to the revised location and these Terms & Conditions will apply. If we have to alter the date and / or the location of the event to a different venue outside of the Greater London Area, this booking will be transferred to the revised date and / or location but we will make a refund of any booking fees paid if requested within one week from the notification of the change.
Data Protection: The personal information shown on this form, and/or provided by you, will be held on a database and will remain the property of Aviation Carbon Events Ltd (ACE) but may be shared with the company's business partners / shareholders: GreenAirOnline, GreenAviation and VerifAvia. Your contact details may be used by us and by businesses associated with ACE to provide you with information about other services and products and may also be disclosed to third party businesses and advertisers for the same purpose. If you do not wish to receive details about their products and services, please contact firstname.lastname@example.org.
Incorrect Mailing: If you are receiving multiple mailings or you would like us to change any details or remove your name from our database, please contact email@example.com.
Exclusions of liability: Aviation Carbon Events Ltd (ACE) uses reasonable endeavours to ensure that the data on the web site and booking forms is accurate and to correct any errors or omissions as soon as practicable after being notified of them. To the extent permitted by applicable law, ACE disclaims all warranties and representations (whether express or implied) as to the accuracy of any information contained on the web site and booking form. ACE does not guarantee that the web site and booking form will be fault free and neither will accept liability for any errors or omissions.
Due to the nature of electronic transmission of data over the internet, any liability ACE may have for any losses or claims arising from an inability to access the web site and booking form, or from any use of the web sites and booking form or reliance on the data transmitted using the web sites and booking form, is excluded to the fullest extent permissible by law. In no event shall ACE be liable for any loss of profit, revenues, goodwill, opportunity, business, anticipated savings or other indirect or consequential loss of any kind in contract, tort (including negligence) or otherwise arising out of use of the web site or booking form, save where such liability cannot be excluded by law.
ACE does not give any warranty that the web site or booking form are free from viruses, malware or anything else which may have a harmful effect on any technology or personal or confidential data.
Applicable law: These terms and conditions are governed by English law and the courts of England and Wales will have exclusive jurisdiction over any dispute.
